Why am I never able to plan better for my crops???

I've hosted a monthly 4 hour crop for years. I've been getting frustrated with it recently though because I would never get everything ready for the crop that I wanted to. Also, I never seemed to get anything done at the crop itself because there would be something I wasn't happy with (usually cutting paper the wrong size because I was talking to someone) and I didn't have extra supplies with me. After a two month stretch where I didn't scrap at all I decided I needed to change my ways if I was going to get anything done scrappy wise.
So six months ago I decided instead of making it a goal to scrap at least 15 minutes a day I would make it a goal to just do something scrappy every day. Some days I may only mat one photo, sketch the LO, pull a couple of embellishments, or cut one journaling block, but at least I have scrapped a little. Other days it is more. I get everything done (select and edit photos, sketch the LO, pull papers and embellishments, cut titles, journaling, mat photos, etc.) except adhering everything. Once the LO ready to be adhered it goes into a folder and in my scrap satchel for the next crop.
At the same time I made it a goal to write down at least one note for a LO everyday. I have an 8 1/2 by 5 1/2 notebook that I keep all of my ideas in. (I tend to come up with these ideas when I take my shower at night - so I write them down before I go to bed). For example, since some of my LO's are the pictures I get from family and friends at Christmas I've got notes on what products I used, font and size I used for titles and journaling, how far from the edge I adhered the strips (I tied all of these Christmas LO's together by putting a quarter inch strip of cardstock around the outside edges), how long to cut the ribbon I used for photo corners, where to place the cuts for the photo corners, etc. I've already looked back at my notes several times when working on various years of Christmas pictures. It has saved me time not having to figure out what I did on the previous LO's. Also, when I'm ready to work on a LO I have everything pretty much pre-planned.
Something else that I have been doing is combining multiple LO's when I do one task. For example, when I pull paper or embellishments I will try to do it for 2-3 LO's instead of just one. The last time I cut titles I did 24 titles (it helped since many of them were for Christmas LO's and I had duplicate titles to cut).
As for carrying too much - since I am in a wheelchair I learned that I couldn't handle everything myself if I carried a lot. A found a satchel that had a shoulder strap and hold 12 x 12 LO's. Once a LO is ready to be adhered it goes into that satchel. When it is time for a crop I grab the satchel and any supplies I need to finish my LO's and I'm ready to go. It usually takes me less than 10 minutes to pack for a crop. Sometimes it I can't decide which embellishment to put on a LO I will take 5-7 embellies with me to a crop to make the final decision for that LO.
So far this seems to be working for me. The real test will come in April when I go to CKC. I'm already getting LO's ready to adhere.
