Got any ideas?
It's for 12-14 people from my area. It's a new scrap group. I have plenty of space and stamps, tools and die cut station. I have paper for days and don't mind being generous with it. (I don't sell anything and this is a free event.)
It's for 11 hours on a Saturday.
I'm serving a light healthy lunch and dinner with snack and drink options.
I haven't hosted a scrappy event in a few years so I'm feeling kinda new at it all over again.
What has wow'd you lately?

Comfy chairs, lots of light and power outlets...and plenty of work space.
Not a big fan of games, giveaways, etc.

The most important to me is table space, lighting, and low noise level. Conversation certainly but not shrieking, yelling out, loud raucousness. Tell them right off the bat where they can take phone calls, (to encourage them to step into another room for that) and where the bathroom is,make sure you have a plunger and extra toilet paper.
I don't think you have to give away your paper but maybe you could encourage others to bring things they don't want and have a swap/free area to find new homes for unwanted stuff. Being too generous with your own stuff can have its own problems. Trust me on that. Games and contests - no. People do things very differently and it cuts into scrap time.
If you want to have a theme you can put a piece of cardstock and some enamel dots or something at each person's place - like for July - navy cardstock and some red white and blue enamel dots, or something like that.
Put your tools in an adjacent room so people can run the machines and use the tools away from the work space.
I don't know how often you want to hold it, if you are hoping to rotate houses or what, but I think it would be good to maybe have a little survey for people to fill out - do they want to bring snacks to share, do they want to take turns hosting, do they want to meet monthly, do they want to order out dinner, does everyone plan to leave 2 hours before you had in mind (I personally hate sitting there with one person when everyone else has left) ... Get an idea what will keep them coming back. When you provide meals you run into people's food issues. I scrap regularly with 2 vegetarians and 1 allergy to tomatoes. One brings her own food, one tells us constantly that she can't be near salsa, pizza, salad with tomatoes, etc. The other one keeps putting little things on her plate all the while saying "Does this have meat? Does this have dairy?"
I may come back with more ideas. It's one of my favorite topics!

Most important to me is table space, lighting and electrical. If it's too loud I can always put in my earbuds. I don't care about giveaways or even tool availability. Food/snacks are nice but bottled water is always appreciated. I would never host because I just don't have the space.

Lucky new group! I echo the above posters about table space, lighting. Also floor space where I can keep my supply totes near me. I am not a fan of being at someone's home. Especially if their family or animals are coming in and out - sorry. The gals from my old group would agree to potluck snacks and our host would provide easy main dishes - salad bar, pizza, etc.

That's ok. They know ahead of time what the set up is. My family will be gone for the day. Home after 5. It ends at 8. We have 2 bathrooms accessible. The cat will be put away in another portion of the house. Now I want to pick a theme.

I am going to a crop in Estes Park in two weeks. Food is provided and two different ladies will be doing kit make and takes. You could go to Tuesday morning and pick up a few paper packs and put some pages together to make with the group.

One crop I went to they had cute little name tags attached to a small mason jar filled with candy. It was just a nice personal touch that I loved.

I think one of the most enjoyable sharing things I've done -- everyone creates a favor for each of the other crop attendees. It can be anything -- I've received a tea dye kit (when that was popular), scrapbook survivor kits, handmade paper rolls, prepared address books. It was always fun, something of an ice-breaker and conversation starter. I also like name plates/tags when not everyone knows each other.

Make it very clear if kids are or are not allowed. As an attendee I would prefer 18 years and older. I know some teens and other kids are incredibly responsible and respect others, it still makes it hard if you want to have adult conversations.

Plenty of trashcans! I know that plenty of trashcans won't be a special thing, but I hate it when piles of trash are all over the place because there wasn't a big enough trash can!
When I 've hosted crops before, I would also put together a little treat bag with a couple pieces of chocolate, maybe a sucker, or some other sort of candy and include a note that I am glad they came. It didn't cost much money and just a bit a time, but everyone always said they appreciated the effort.

I agree with everyone else that having enough space for working and having my stuff nearby is the top consideration. I always like getting a little treat at my space like some candy or a granola bar and a bottle of water, and it's fun if it has a decorated place card with my name on it if people don't know each other well.
I also agree with not being overly generous with your stuff. It's nice if you want to have a little freebie for everybody, but you don't want people to come to expect getting a bunch of free stuff every time. Having a free table is a great idea for people to leave stuff they're done with that someone else might be able to use.

I think being welcoming is really important, especially to people on their own. I don't know if you know everyone who is coming or not but it's daunting to go somewhere new on your own, or even with a friend but a friendly face when you get there makes all the difference. We had one lady at a local crop who was always saying to people 'you can't sit there' then they would move to the next chair and she'd say 'you can't sit there either'. So many people told me they nearly walked out and never came back after encountering her on their first day!

I attended one about this size a couple of weeks ago. We had a pot luck cold lunch and snacks. We paid $20 each, and the hostess provided coffee/tea/water plus a hot supper. At a similar crop in our small town, once we had pot luck, once we just went independently for a quick meal downtown, and another time we pooled our money and ordered out for supper.
Like others have said, having space to work is key. Also nice to have a Big Shot or something to be able to cut and/or emboss, and an area for stamping if people want to do that. Maybe a place to use mists? But for a one day event, people don't usually use much wet media. Also, I don't know if people would bring their Silhouettes or Cricuts for a one day crop, but if they did, it would be good to have a table for those types of things, a little away from the scrapping table(s). That table could also house their Minc's or laminators.
When I go to a crop, I go with a plan in mind to do pages or cards, and I find games and contests a little distracting. It IS sometimes fun to have a challenge to get me going, whether that is to use everything in a provided goody bag, or a list of items to include on a project, or a sketch to try, etc. If you have an idea for a colour challenge, or using a particular element (like brads, or ribbon/twine), it is nice if the participants know about that in advance so they can bring their own supplies in the colours of their choice to complete the challenge.

I appreciate a garage sale space. Where people can sell their unwanted stuff. Here people fill a box with things and have a small pot for cash. And its done on a trust basis.
I agree with others don't give away your stuff. You are already providing the space and other stuff.

One of the nicest crops I went to the organizer had a little box from Target $ spot and there were a few pieces of candy 2 little homemade embellishments and a glue runner. You could also do that and instead of glue runner get was how tape since glue runners are kinda spends. I would love a little embellishment with or without a name that went along with the theme. I have been to one where it was crop around the clock and hostess had 45 records decorated for us. Another was crop by the lake and she did large tags with Julie Nutting girls on them. Extra tables for tools and one for snacks. I bet you will have an awesome time.

I love a crop with lots of space, and good lighting. If I didn't know my fellow croppers, a name tag is nice. I love getting a little favor at my spot. It doesn't need to be fancy, but a little candy or a small SB item is just fun to sit down to.
I'm not a fan of games, or contests. I hate having to stop when I'm in the groove. I will have to say that I went to a regular crop a few years ago, and they played a fun game that took under 5 minutes right before we broke for a meal. The hostess had a big jar full of papers with scrapbook supplies written on them. Simple things like scissors and glue dots, and then some specialty things like a bone folder or a picture with a dog in it, etc. Some things would even be non SB related like lip balm or tissues.
She'd pull out about 15 papers per crop and read them out. You went through your supplies and the person who had the most supplies handy won a small prize. There was a time limit to find all these things, so it was fast and easy. Since we played it every time we cropped it made you get a little more inventive on what you packed - but you still never knew what would get called.
I've played similar games with items in your purse at showers, but it was fun and just a fun quick break during a crop.

I'm not a fan of competitions such as number of layouts. I do like free door prizes. I like swap sections as well.
