I need to fax a copy of a will to an insurance company. Is it safe to take it to UPS or Staples to have them do it? Other than names, there is no other identification such as Social Security numbers or birthdates, etc. Call me paranoid, but is there any "record" left on the fax machine that someone could access?

I've had a few fax machines and I don't know how you'd get information off of them unless you photocopied or scanned the paper. But from the fax feature you couldn't. I was using it directly through the phone line. I know you can use a fax through the computer so you must be scanning it to a file on the computer. You could ask which way they are sending it, probably through the phone line it would safe, quicker and easier.

At work, our fax machines are part of our copy machine. It scans the document first then faxes it. It must save it internally because if it doesn’t go through the first time, you can resend it again without having to scan the document again. Big stores like Staples probably uses the same type of machines. You can ask. I don’t know how or when the internal memory is purged.

Is it an option to scan the document, using TurboScan or similar app, & email it as a pdf file to the company (from the comfort of your own home, office, or wherever)?

No way would I do that. I haven’t used a fax machine in over five years but every one I’ve ever used allowed you to retrieve a copy of a sent fax.

Is this a will that has gone through probate?
If so, then it isn’t really “confidential” as it is a public record once it is recorded.
If it has nothing but names, I guess I’m not sure what the concern is, even if it hasn’t been probated yet. Unless you are concerned about busybodies who might want to spread gossip? If so, I would suggest taking it to a store that is somewhat distant from where you live so nobody at the store would care about what you are scanning.
Do you have the option of scanning it as a PDF and sending it via email? You can do that from home or use a friend’s scanner if you don’t have one.

Unfortunately the insurance company wouldn’t accept a scanned/emailed copy. But I asked around and fortunately a friend’s parents had a fax machine which they kindly let me use. So problem solved without using Staples or UPS.
