Next year, I will be in charge of our high school's theatre parent group. Sometimes the email list can be quite large (for the spring musical, it was over 120 emails.) People got left off of the list, feelings were hurt, and information didn't get out to the parents. I'd like to change that.
Does anyone know of a good way to collect all of the emails and to organize them? Is there a website or app that does this?
Right now, I'm thinking that parents can email me their address. That way, poor handwriting and incomplete addresses can be avoided. Often, the kids give us their parents addresses and frequently they are incorrect. But I'd like the director and some other volunteers to be able to access the email list as well.
We used Reminder for the spring musical and that worked quite well. So we will use that again for texting. But often there are big chunks of info handed out, rehearsal schedules, prop lists, etc. It just isn't practical to send that info in a text.
We do have a school website to post info, but the director is HORRIBLE about administrative tasks, especially when we are the final week of production. I can't have access to the school website, so I need to find something that I can use as well.
Any suggestions are greatly appreciated!

For actually writing/composing/sending out emails to a list, Mail Chimp is AWESOME! ANd FREE!!!
Not sure how to get an email list composed... I like the idea of parents emailing you. Is it possible to tie them giving your email to something they need... like they have to email you to receive the date of the first rehearsal (or whatever specific would work for your organization?)

I have used volunteer spot or signup genius websites and both have their pros and cons. You can create a link that the parent can access and enter own information. They are free, BUT many features aren't available unless you pay a fee. For example, with sign up genius, you can't email an attachment with the free service, but with volunteer spot, you can. I do have sign-ups to coordinate for the track meets.

I'll look at Mail Chimp and Volunteer Spot. We use Sign Up Genius for potluck meals, but don't want to pay for the additional services.

What about creating a google survey/questionnaire that captures email addresses? Then you can import that list into mailchimp, or another type of communication program.
That way if the email address is not correct, it is they who typed it in. (Not that you can't change it, but it isn't "your" entry error).

Here's a dumb question--how do you access communication with these sites? Do I need to log into the site each time I would check communications, or can I have it dump into my phone's email account. Because on show days, people love to contact me last minute and I'm already juggling 800 other things... Can I log into these sites, send my email, and have their answers go to my phone?
MailChimp looks like the best bet for email. Maybe I just need to set up a test account and see how it works.
