I am the new president of my alumni association. I'll need a storage locker for all the stuff the old president keeps bringing me. In it are 6 - 2" binders of all scrapbook kinds of stuff, newspaper clippings, etc. I can easily scan them and turn them into Shutterfly books. Don't get me wrong, the Shutterfly won't be nearly as charming as the binders, but the stuff in it is really starting to degrade.
It kills me to throw them out, but there is just not a place to keep all this stuff!

I think originals are better and far more interesting. I think I'd just make sure they are on acid free paper and stored well. Scanning would be good for posterity, but I would still keep the originals. ........................................

I would vote to scan and toss. The next president will so thank you for it. It's currently a storage problem, a problem with trying to keep it pristine, and a problem keeping it easy to manage. Plus, I think Shutterfly books can be very attractive and much more inviting to open and read. Just my two cents.

Oh my gosh don't toss unless you want to be hung on a cross later! So many stories of tossing heritage, memorilbila and the like gone bad!! Lol

What ever you do.. don't be the person to destroy the originals.
You will never hear the end of that.. you could start the process by scanning and having them available electronically.. but let people get used to that before you destroy anything.

As I said, the newspaper articles are really starting to get degraded, so I figure I better do something with them before they are lost forever.

I wouldn't think they are yours to toss. They are things accumulated by the association and when you are no longer president they'll be handed off to the new one. It's quite possible the one who handed them over to you was just passing along things that were passed to him/her.

I don't see an issue with scanning them and making a book or putting them on your association's website, just don't think you should destroy the originals when you are done. Would the association pay for the storage of those items if no one else wants them?

Isn't there a Librarian/Historical position that should be taking care of this? I agree that you shouldn't destroy the original without approval of the rest of the board.

Are you a president, or a dictator? You don't get to decide to make a book and toss the old. That should be a decision of the entire board and probably a membership quorum. After all, it is the memberships memorabilia, not yours. I agree with scanning it so it isn't lost forever. But, I disagree with tossing the originals. There is something very connecting to holding an original item that doesn't cause the same feeling as viewing a scan or a reproduction.

I agree about scanning the docs but think whether to get rid of the originals is something that should be discussed with at least the other committee members. I'd be worried that if you make the decision on your own, there will be someone criticising it later on.

Scan and create the books FIRST. I think you'll find you've got over a $1000 in books to be printed by the time news paper articles are large enough to be read. Once you know what the real cost of printing books will be, then you can talk to the board about how to proceed or IF they want to proceed.
And, if the board does decide to dispose of the originals at least send out a mass mail/email to the membership so people can have a chance to pick up items that might be important to their family/personal history.

Hehe, comments so far give you an idea what to expect. Good for you planning to discuss it first. Personally I'd prep it all, and let someone later make the decision to toss.
I think it's amazing you are offering to do the scanning. That's no small chore. Your heart is in the right place.
(I'm housing past and future supplies for 25 centerpieces this year. Trust me, I understand urge to reduce storage requirement.)

I would absolutely scan in all the memorabilia and start working on the book.
No way would I just destroy he originals. Have the entire group take a vote on it, and maybe have all the alums (who are interested) have a say as well. And even if the majority is to destroy, maybe you can offer up those pieces to anyone who wants to hold on to them?
I have such a hard time tossing physical items I still have my old scrapbooks full of newspaper clippings and do-dads. But, they do take up so much space! It's just so nice to be able to run my hands over those items and remember some things.
