I am volunteering with our local art fair and I am helping with PR. We are expanding our advertising with facebook and I am planning to use instagram as well. But I would love any suggestions!
Do you get event emails from a service? Do you look on your local newspaper event's calendar?
How far in advance do you plan out for weekend activities?
Any and all suggestions would be greatly appreciated!!

Does your local hospital have a bulletin board? Before I retired I'd often check the bulletin board, located by the cafeteria, to see what kind of fun community events were posted.

I will see if there are any local community calendars I can post to, great idea! In the past we have posted in local libraries, businesses, and the like. Part of the issue is that we are in the Bay Area. So not just one place to post things! It's fantastic! It is run 100% by volunteers, the juried artists donate back 15% off their profits and the local artists donate 10%. The funds help to fund out local volunteer fire brigade and the local elementary school.

Our local radio station also has a Community Calendar time slot where they announce local events, I believe it's free too. Could you put up flyers at a Senior Citizens center nearby? Visiting family members would get eyes on it and perhaps take their loved ones for a nice afternoon 'trip' to see the art.
Are students in your area back to school yet? Perhaps the schools would send home flyers in the kids' weekly folders. Is there a local college? Again, a flyer in the student center and ask the art teachers to spread the word.
What a nice event to be involved in. We have a place here where locals display their art and there are shows from time to time. I need to make it a point to attend more often. I'm amazed by and envious of others' talent.

You are dong the right thing with Facebook and Instagram. The things I dislike about Facebook far outnumber the ones I do; however, I do check there when I want basic info about an event or a businesss. Recently I'd heard about a speaker (one of our Senate candidates) coming two towns over from me and I checked the organizations Facebook page - nothing. I checked the candidates Facebook page which had lots of info on where she had been but nothing on where she was going to be in the future. I googled, nothing. I checked the on-line newspapers a few days ahead - nothing. Finally, the day before the event, one of the on-line newspapers had info about it. The Facebook page was never updated.
One of my friends is always up on what is going on in her town and she tells me. She hears things word of mouth and from Facebook. An art fair is right up her alley and she knows everyone. So for an art fair, I'd be sure women who are involved in organizations around your town know about it.
I don't subscribe to any newspapers. I do occasionally check on-line but that is not my first source of information.

I live in an area that has a free-distribution newspaper that we receive in the mail every few weeks. It has a section called The Community Calendar and it is my go-to place for finding events. I'm always bummed when our local newspapers and TV stations report on an event AFTER it's over and done. Grrrrr. LOL

There is a guy who runs a column in our dinky little newspaper who talks about all the new stores/restaurants/goings on, as well as reviews them. He will also list town events that are upcoming.
Our town has a facebook page and they will post almost all of the upcoming events.
The events/places have their own pages and will post multiple times about upcoming activities. People will then say if they are interested or going, and that info pops up in my news feed as well.

We have a daily town email community page that is interactive for residents and another weekly town email that is not interactive, just informative. I also see things on my towns email group and special interest groups. My family is dh, me and 17 yr old dd. We hear about new businesses and visit them after hearing about them from the above sources. So they do work We just got a new bakery we visited and have already told people about. Dd is the one that told us about the bakery. I participated in a scrapbooking garage sale after seeing it advertised in different craft groups on FB.

You might also check Nextdoor.com and see if there are any local neighborhood groups you can post to. Another place you might try is meetups.com (I have a friend who advertises her yoga classes there). We always put up flyers at the local library and places like Panera that have community bulletin boards.

Press releases like freebird mentioned. Our local free newspaper is the best source for info. Posters and banners work. Around here one of the pizza shops will tape notices onto their boxes.

Since the people that benefit are the fire brigade and the elementary school I would put flyers up there or have them advertise it on their website or newsletter or whatever they have. Some people may come to the event to support the fire department/school even if they wouldn't normally have gone to an art fair.

Thank you for all of the suggestions. We do get good repeat traffic, we are trying to figure out how to attract new visitors. This is the 53rd year, so it is well established. We have advertisements that are running in Sunset magazine, inserts in local newspapers that hit at least 100,000 homes, we have radio psas, and a couple digital publications.
I will keep googling to see what local outlets I might be able to use and see where I can get some print advertising in local places.

There are a few local ad magazines that come in the mail that have event listings in them, the newspapers have a community events list for the upcoming weekend every Thursday. I hear about things of interest from my friends too. You could also post it on Craigslist for free, it's crazy how many people troll Craigslist for just about everything! A couple of my brothers are addicted to it.

Well, in addition to all the other suggestions, I know that my Starbucks stores have a community board for announcements. (I assume they all do although one of my stores remodeled and I can't picture its location in the new space.) I believe all you have to do is ask if you can put the flier up and have the manager okay it. (Which I don't think is hard.)
In the store I frequent, it's right by where you wait for drinks, so I am looking at it all the time.

Sounds crazy but Craigslist.
Around here there are a ton of free community boards so hit all of them up.
Set up a Facebook event so it is easy to share. Ask people to share it.
We have a local hashtag people use on Twitter...
Don't underestimate Instagram...
Ask all the artists participating to share the event on their social media.
Our NPR station does a whats happening on Fridays... call them and see if you can get it on the radio.

I find out about everything on Facebook & twitter.
On Facebook I belong to a couple of groups in my small town and people share things there which is great. There are also a couple of blogs for my area and they share what is going on in the area, new restaurants opening, events, etc. On Twitter I follow other writers and event folks who post up and coming events. If you have any of those I would get with them to see if you can be featured. They are always looking for content to share!

Set up a Facebook event so it is easy to share. Ask people to share it. These will also show up as "suggested events near you" on FB. I've found events through friends who are going or mark it as "interested".
